Privacy policy

RallyCal is a group scheduling service provided by Billy Sticker. This policy explains what information we handle when you create an event, share an invitation, or respond to a poll.

Information RallyCal handles

When you create an event, we store its name, category, possible dates or times, time zone, duration, and final selection. When you respond, we store the name you enter, unavailable dates or times, drafts, and submission timestamps. Drafts can be saved on our server before you submit them.
RallyCal works without an account. We do not ask for an email address, payment details, or access to your Google Calendar. Our servers and hosting providers may process technical information such as IP addresses, browser details, request times, and errors to deliver and protect the service. If you contact us, we also receive the information in your message.

How we use information

We use this information to save events and responses, calculate suitable meeting times, let you return to your work, answer support requests, and prevent misuse. Where applicable law requires a legal basis, we rely on providing the service you request, our legitimate interests in operating and securing it, and compliance with legal obligations.

Who can see your event and response

Anyone with a public invitation link can view the event details and finalized selection. The organizer can see submitted participant names and availability. Unsubmitted drafts do not appear in organizer results, and a public invite does not reveal other participants’ responses.
Anyone with your private organizer link can manage the event and view results. Anyone with your private response link can access and edit that response. Keep these links private. Avoid entering sensitive personal information in event titles or participant names.

Cookies and browser storage

RallyCal currently uses necessary local storage, a browser technology similar to cookies, to remember organizer and participant access, recently created events, pending response edits, and your cookie choice. We do not currently use analytics or advertising cookies, tracking pixels, or optional tracking services.
Use Cookie settings in the footer to review the notice at any time. We remember your necessary-only choice for up to 180 days before showing the notice again. Necessary storage is used to provide the features you request; this choice does not authorize optional tracking. If we introduce optional tracking, we will update this policy and ask for any required consent first.
You can remove or block site storage in your browser settings. This may erase local drafts and your access to existing events unless you have saved your private links. Clearing browser storage does not delete information already saved on our server. If storage is blocked, your cookie choice may last only for the current visit.

Service providers and external links

Hosting and database providers process information needed to run RallyCal. We may also disclose information when required by law or to address abuse and protect rights. We do not sell personal information or share it for targeted advertising.
Adding an event to Google Calendar opens Google with the selected event details; RallyCal does not read your calendar. External websites, including social media contact links, handle information under their own policies. Our providers may process information outside your country, subject to applicable data protection requirements.

Retention and security

Events, submitted responses, and server drafts currently remain stored until removed; there is no automatic event expiration. Local event access and draft backups may remain until cleared or replaced. Contact us to request deletion of server data. Some records may need to be retained for legal or security reasons, and backup copies may remain until replaced through the provider’s backup process.
Private access tokens are stored as hashes on the server, and access to organizer results and response edits requires the corresponding token. No service can guarantee complete security. There is currently no email-based recovery or self-service private-link revocation.

Your choices and privacy requests

You can update your availability through your private response link while the event is open. Depending on your location, you may also have rights to access, correct, delete, or receive a copy of your personal information, object to or restrict certain processing, and complain to your data protection authority. Contact Billy Sticker below to make a request. We may need to verify that you are entitled to access or change the requested information, and will respond within the period required by applicable law.

Children and policy updates

RallyCal is not intended for children under 13. If you believe a child has provided personal information, contact us so we can address it. We will update the date on this page when our practices change and provide additional notice when required.
